Podology uses a project-managed subcontractor model rather than an in-house crew. That means we design the garden, we hold the project accountability, and we engage the right specialist trades for each element of the build. This is a deliberate choice and it delivers better outcomes for the type of complex, structural, design-led work we do across Sydney’s Northern Beaches than any in-house crew of comparable size could match.
Some landscaping companies market their in-house crew as a differentiator. It is a legitimate model that works well at certain scales and scopes. For the kind of work Podology does, project-managed subbies is the better answer. Here is why.
The right specialist for every element
A residential landscape build involves multiple trades. Excavation and earthworks. Structural retaining. Drainage. Decking (which is not the same skill as framing or paving). Stonework. Paving. Concrete. Electrical (lighting). Plumbing (irrigation and water features). Planting and turf. Sometimes pool works.
No small in-house crew is genuinely great at all of these. What they usually are is competent generalists who lean on strong specialists in one or two areas. For a $20,000 refresh, that is fine. For an $80,000 to $250,000 build with structural retaining, stonework, elevated decking and integrated pool works, the gap between competent-generalist and true-specialist shows up everywhere. It shows in finish quality, in speed, in problem-solving, in the cost of doing rework.
Using specialist subcontractors means the stonemason we use for a feature sandstone wall in Mosman is someone who lays stone every day. The decking crew we use for a 60 square metre elevated composite deck in Avalon is a decking specialist, not a general landscaper who also does some decking. The concreter for structural footings is a licensed structural concreter, not a general labourer.
Coordination expertise is the real skill
The core skill we bring is not swinging a shovel. It is designing a build sequence that works, coordinating trades so they arrive when the site is ready for them, managing quality control at every stage, holding fixed pricing and timeline commitments, and keeping the client informed throughout.
A residential build can involve 8 to 15 different trades over 3 to 6 months. Sequencing them correctly is the difference between a 12 week job that finishes on time and a 24 week job that runs over budget. That coordination is a full-time skill in its own right.
Single point of contact
The main worry clients have about a project-managed model is: who do I actually call? The answer is the same person you called at the start. You have one project manager throughout the build. Every question, every change, every concern, every payment goes through one person. You never chase a subbie yourself. You never coordinate between trades yourself. You never wonder who owns a problem.

Fixed pricing that means fixed pricing
We contract with subcontractors on fixed price scopes for each stage of the build. That means what we quote you is what we deliver. If a stonemason takes twice as long as expected, that is our commercial risk, not yours. If we misjudged the footings and needed extra concrete, that is our cost, not yours.
This is different from a cost-plus or day-rate model where scope creep flows to the client. Fixed price is only viable when you can trust the subcontractor to deliver, which is why we work with the same trusted specialists on most projects.
Why not just have an in-house crew?
The economics of an in-house residential landscape crew are difficult. To justify keeping specialists on salary through wet weather, quiet periods and between jobs, a company needs to run enough consistent volume to keep them busy. That either means chasing volume by lowering quality and price (which hurts the type of work we do), or padding client quotes to cover downtime (which hurts the client).
The subcontractor model lets specialists be busy across multiple clients and companies. They stay fully utilised, so their day rates are reasonable. We call them only when we have the right job for them, so they arrive fresh and focused. Everyone wins.

Sites with difficult access requiring careful sequencing.

Are subcontractors as reliable as an in-house team? If you use the same trusted subcontractors on most jobs, yes. If you shop for the cheapest trade every time, no. Our subcontractor list is small, established and vetted.

Is a project-managed build more expensive than an in-house crew?
Usually about the same or less, on comparable quality of work. The coordination fee replaces the overhead that in-house crews carry through downtime. What you save on quiet-period padding, you spend on specialist trades. On complex builds, the specialist quality more than pays back the coordination cost.
How do I know the subcontractors are any good?
Ask to see recent projects, and specifically ask who did what part of the job. A reputable project managed builder will have a stable roster of subcontractors they have worked with for years. Rotating strangers is a red flag; long term relationships with specific trades is a good sign.
Who is responsible if something goes wrong on my build?
Podology. We hold the contract with you. The subcontractor arrangements are ours, and any warranty, rework or quality issue is our responsibility to resolve. You never chase a subbie yourself.
Will there be different people on my site every week?
Yes, and that is intentional. Different stages of a build need different specialists. The excavation team, the concreter, the retaining wall builder, the decking crew, the stonemason, the electrician, the planting team are all different trades. What stays constant is your project manager, who is on site regularly and available throughout.
What if a subcontractor is unavailable when we need them?
We plan around subcontractor availability at the scheduling stage. Our core subbies get priority booking because we bring them consistent work. On the rare occasion an established subbie can’t fit us in, we have a second-preferred specialist we call on for each trade.
